How to set up your product with guest type availability per availability event

With guest visibility settings at the availability event level, you can specify which guest types are available for select events. This feature is helpful if you have availability events with restrictions such as age or access.

What are guest types?

Guest types are features that allow you to categorize the type of guests associated with your booking. You can assign pricing, quantity limitations, and availability and date restrictions to each guest type. They also allow for automatic inventory allocation.

You can then customize who can book your product for custom schedules, e.g., adult-only bowling parties on weekdays, family-friendly weekend tours, or guest types that only staff can book for special events.

 


Setting up guest type visibility per availability event

Follow these steps to set up your guest types:

  1. Go to the Product Builder (Products > Products) to add a new product or edit an existing product.
  2. Fill out the product Details as needed.
  3. Go to the Inventory tab of the product builder.
  4. Using the Who is this product available to? setting, select which guest types apply to this product. You can also add new guest types via the + Create guest button.

  5. Then, select the appropriate Inventory Type.
  6. Go to the Availability tab. You can specify how product bookings are allocated using the How this product is booked? setting.

  7. Click Save to save your selections and activate the Create New drop-down under Availability Events.
  8. Select Availability from the Create New drop-down to open the Availability Event modal.

  9. Fill out the Event Name and Date Range for your availability event.
  10. Configure any allocation-specific settings, e.g., add Timeslots or days of the week.
  11. Apply any Booking Rules. If the Customer view checkbox is selected, the guest type (e.g., Adult and Senior) is visible to customers for selection.
  12. Turn on the Guest Visibility setting within the Availability Event modal to view the associated guest type settings.

    If the Customer view checkbox is not selected, the guest type (e.g., Youth and Child) is not visible to customers for selection.

    If the Staff view checkbox is selected, the guest type is visible to staff within the staff booking pages. 

    If the Staff view checkbox is not selected, the guest type is not visible to Staff within the Staff booking pages.

    By default, all guest types are selected. You can deselect the check box next to the guest type to remove one or more guest types from the Customer view or Staff view.

  13. Set a minimum and maximum number of guests per booking using the Number of Guests Per Booking setting.
  14. Click Save to save your selections and close the modal.

If you make the guest type visible at the availability event level, it must also be visible according to the overall guest type settings.

 


Booking with guest types visible to Staff only

Having the guest type visible only to staff gives your staff the power to book guest types as needed.

Guest types are visible to staff on the staff-side booking pages, and customers cannot see these same guest types from the customer-facing view.

Once you apply guest types to the booking, the Booking Invoice automatically lists any guest types with prices.
