How to view session details from the schedule grid

You can view session details for booked and unbooked sessions directly in the schedule grid without navigating away.

You can view session details from a session tile, the bookings tab, or the guests tab in the schedule grid.

Know the following:

  • The schedule grid displays sessions closed by product closures if they fall within the selected date range. The schedule grid visually greys out these sessions, but you can still open the corresponding drawer.
  • You can isolate closed sessions with one or more bookings by filtering by Show booked sessions.
  • You can isolate closed sessions without bookings by filtering by Show unbooked sessions.

Viewing session tile details

Follow these steps to view session details from a session tile:

  1. Go to the Schedule Grid (Calendar > Schedule Grid).
  2. View session details from a tile, including the time and number of guests, without having to drill down into the session drawer. A progress bar under each session tile indicates the remaining inventory.

    You can view the following session details within the session tile:

     Session Detail Description
    Session start time The grid displays the session start time at the top of each tile. The time format follows the locale selections at Account > Setup > Locale.
    Total number of guests 

    The first guest number displayed on a session tile is the total number of guests across all locked status bookings associated with that session.

    The guest count includes all guest types, regardless of whether they use resources. For example, a child adds to the total guest count even if it does not consume a resource.

    The system does not include the bookings canceled, voided, or pre-bookings in the guest count.

    Remaining inventory

    The second guest number on a session tile indicates how many guests you can still book for a given session.

    The remaining guest count updates only for guest types that consume resources and bookings, inventory adjustments, and product closures impacted. For example, if a child does not require a seat on a boat, they are not included in the remaining guest count.

    The system does not include bookings canceled, voided, or pre-bookings in the remaining inventory.

Follow these steps to view session details from the schedule grid bookings tab:

  1. Go to the Schedule Grid (Calendar > Schedule Grid).
  2. Click a session tile with active bookings to open the corresponding session drawer.

  3. View booking details and customer information from the Bookings tab of the session drawer. You can also perform actions such as creating a booking, searching for bookings, accessing bookings, and checking bookings in and out.

    Each booking entry includes:

    Heading Description
    Booking ID This clickable link opens the locked or unlocked booking in a new browser tab. The schedule displays bookings in chronological order based on their creation date.
    Check-in Status You can adjust the booking's current check-in status on a per-booking basis.

    Payment Status

    The current booking's payment status.
    Customer The name of the customer associated with the booking.
    Email The email address of the customer.
    Phone The phone number of the customer.
    Balance The remaining balance for the booking.
    Guests

    The number of guests linked with the booking. For example, 2 adults and 1 child.

    This clickable link brings you to the Guests tab, with results automatically filtered for that booking.

     

  4. Close the session drawer by clicking the X button or pressing [Esc] on your keyboard.

    The Bookings tab lists locked status bookings first in the session drawer, while unlocked status bookings, if any, show last.

    Locked status bookings hold inventory, while unlocked status bookings do not. The system also does not include cancelled, voided, or pre-booking bookings in guest or inventory counts.

Follow these steps to view session details from the schedule grid guests tab:

  1. Go to the Schedule Grid (Calendar > Schedule Grid).
  2. Click a session tile with active bookings to open the corresponding session drawer.

  3. Select the Guests tab.

  4. View guest details and perform actions such as searching for guests, checking in and out guests, creating a booking, and accessing bookings.

    Each guest entry includes:

    Heading Description
    Guest Name of the guest associated with the booking.
    Waiver Status

    Displays the status of a waiver, indicating whether the waiver is filled or not.

    If a waiver is attached to the product and a guest fills it out, a green status icon indicates that the guest has completed it.

    A red icon indicates that the guest has not completed the waiver.

    Check-in Status

    Displays the check-in status of the individual guest, which you can adjust on a per-guest basis.

    The guest check-in status can be different than the status of a booking with which the guest is associated.

    Type

    Displays the guest type, for example, adult or child.

    Booking Number This clickable link opens the booking in a new browser tab. Bookings appear in chronological order based on the booking creation date.
    Email The email address of the guest.
    Phone The phone number of the guest.

     

  5. Close the session drawer by clicking the X button or pressing [Esc] on your keyboard.
